Responsibilities
- Assist in the preparation of compelling, high-quality grant proposals in collaboration with program staff and technical teams. Ensure that proposals align with donor requirements and organizational objectives.
- Ensure all funded programs adhere to donor regulations and organizational policies. Monitor grant contracts and agreements to ensure compliance with reporting and expenditure requirements.
- Work with the Grants Manager and finance team to monitor the financial status of each grant. Ensure budget compliance and track expenditures, ensuring accurate and timely financial reporting.
- Coordinate the preparation of high-quality donor reports, including financial and narrative reports, ensuring timely submission in accordance with donor guidelines. Work closely with program teams to gather relevant information.
- Maintain accurate records of all grant-related documents, including agreements, amendments, reports, and communication with donors. Ensure that grant documentation is filed in accordance with organizational standards.
- Assist in preparing grant modifications and extensions, including budget realignments and no-cost extensions, in collaboration with program, finance, and legal teams.
- Serve as a liaison between the program, finance, and other departments to facilitate the smooth implementation of grant activities. Ensure that all relevant stakeholders are informed of grant progress, deadlines, and requirements.
- Support communication with donors regarding grants, responding to inquiries, and providing necessary updates. Assist in organizing donor visits and meetings when necessary.
Qualifications
- Bachelor’s degree in international development, business administration, social sciences, or a related field. A Master’s degree is a plus.
- Minimum of 1 year of experience in grants management, proposal writing, or donor reporting, preferably within an NGO setting.
- Strong understanding of donor compliance and reporting requirements for major donors.
- Excellent writing and editing skills with a demonstrated ability to produce high-quality proposals and reports.
- Strong organizational skills and attention to detail with the ability to manage multiple priorities and meet deadlines.
- Familiarity with budgeting and financial reporting processes related to grants management.
- Ability to work independently and proactively solve problems.
