Responsibilities
  • Provide high-level administrative support to the executive team, managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Attend all executive meetings, take comprehensive minutes, and distribute them to relevant parties.
  • Prepare reports, presentations, and other documents as required by the executive team.
  • Handle confidential information with discretion and professionalism.
  • Oversee day-to-day office operations, ensuring a well-organized, efficient, and productive working environment.
  • Manage office supplies, equipment, and maintenance, coordinating with vendors as necessary.
  • Serve as the main point of contact for office-related inquiries and ensure all administrative duties are handled smoothly.
  • Coordinate with various departments to ensure seamless communication and workflow within the office.
  • Coordinate travel arrangements for executives and key personnel, including flights, accommodation, transportation, and itineraries.
  • Assist with travel documentation, including visas and other travel-related needs.
  • Act as the liaison between executives and internal/external stakeholders, ensuring effective communication.
  • Manage emails, calls, and correspondence on behalf of the executives.
  • Organize company events, conferences, and meetings, handling logistics and ensuring successful execution.

Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Proven experience as an Executive Assistant, Office Manager, or similar role.
  • Fluent in English; a third language is a plus.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to take accurate minutes of meetings and follow up on action items.
  • Well-presented and professional, with strong attention to detail.
  • Ability to travel frequently as required.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software tools.
  • Ability to handle multiple tasks, prioritize, and work under pressure.
  • Experience managing office operations and working in a fast-paced environment.
